How to Plan Corporate Travel for 50+ Delegates Without Losing Control
MAP Travel Solutions · 6 min read · 19 July 2026
A practical framework for traveller data, rooming lists, approvals, transfers and communication.
Moving fifty or more travellers is not fifty separate bookings. It is one plan with fifty moving parts, and the difference between calm and chaos is almost always preparation.
Start with clean traveller data
Collect full names as they appear on travel documents, contact numbers, dietary requirements, accessibility needs and arrival preferences in a single structured list. Late corrections are the most common cause of avoidable cost.
Lock the approval path early
Agree who signs off on quotations, what the purchase order process looks like and how changes are authorised while people are in transit.
Build one movement schedule
Flights, transfers, check-ins and meeting times belong on one master schedule that every stakeholder reads from. Staggered arrivals are manageable; competing spreadsheets are not.
Communicate once, clearly
One pre-departure pack per traveller, with itinerary, transfer details, venue address and a 24-hour contact number, prevents most in-trip queries.
Close the loop
Reconcile after the event: what was booked, what changed, what it cost and what would be planned differently next time.
